About Jack & Coaching Services
The Coach

These Terms and Conditions govern all tennis coaching services provided by Jack ("the Coach"), operating as an independent freelance tennis coach in the Eastern Suburbs of Sydney, NSW. By booking a session, making payment, or signing the accompanying Liability Waiver, the client ("you") agrees to be bound by these Terms in full.

Qualifications

Jack holds the following current credentials:

  • Tennis Australia Accreditation — current and valid
  • Court permit — Eastern Suburbs community tennis courts
  • Sport Science student — University of Technology Sydney (UTS)
  • 3+ years swim coaching experience
  • ATPCA insurance — currently pending; interim policy applies
Services Offered

Jack provides private and small-group tennis coaching sessions for adult clients (18+) of beginner to early-intermediate ability. Services include:

  • Trial session (1-on-1): Includes a free 15-minute discovery call. Required before accessing any other session type.
  • Trial session (2–4 people): Group trial — required before the group can book standard or package sessions.
  • Standard sessions (1-on-1 or 2–4 people): Unlocked after completing a trial. Includes a personalised PDF feedback report after every session.
  • 4-session credit pack (1-on-1 or 2–4 people): Unlocked after completing a trial. Includes PDF feedback after every session. Available once per new client or group.

Jack does not currently offer coaching to clients under 18. This will be reviewed once full ATPCA accreditation and insurance is obtained.

Eligibility

By booking a session you confirm that you are aged 18 or over, are physically capable of participating in recreational tennis activity, and have disclosed any relevant medical conditions or injuries to the Coach prior to your first session.

Court Locations
Priority Venue — Waverley Park (First Preference for All Bookings)

Waverley Park Multipurpose Courts is Jack's default and first-preference venue for all coaching sessions. When a client books, Waverley Park will be offered as the primary location unless unavailable due to court conflicts, weather, or client location preference.

Court Availability

Session scheduling is subject to court availability across all three locations. Jack will confirm the specific venue and court at the time of booking confirmation. In the event that a booked court becomes unavailable due to factors outside Jack's control (e.g. maintenance, venue closure, weather), Jack will make reasonable efforts to secure an alternative court at one of the other approved venues or reschedule the session at no additional cost to the client.

Court Rules & Conduct

Waverley Park, Northbridge Park, and Glebe Tennis Court are all managed public facilities. All clients must comply with the rules and regulations set by the respective venue operators while on court. This includes but is not limited to:

  • Wearing appropriate non-marking court shoes at all times
  • Not bringing food or glass onto the court surface
  • Vacating the court promptly at the end of the booked time
  • Treating court facilities and equipment with care
  • Following any signage or instructions from venue staff

Any damage to court property caused by a client during a session will be the financial responsibility of that client.

Client Responsibility for Arrival

Clients are responsible for knowing the location of their booked court and arriving on time. Jack will provide the specific court number and any access instructions in the booking confirmation message. It is the client's responsibility to allow sufficient travel and parking time. Session time will not be extended due to late client arrival — see Section 6.

Equipment

Jack will supply tennis balls for all sessions. Clients are expected to bring their own racket unless otherwise arranged. If a client does not have a racket, Jack may be able to arrange a loaner at his discretion — this must be requested at least 24 hours before the session. Jack accepts no responsibility for loss of, or damage to, any personal equipment brought to a session.

Booking & Payment
How to Book — Pay First, Then Schedule
Important — Payment Before Scheduling
Clients do not book a session time directly. The booking process always starts with payment first. Only after payment is confirmed will the client receive access to Jack's scheduling calendar to lock in a date and time.

The correct booking process is:

  • Step 1 — View availability: Clients may view Jack's available time slots on his public Cal.com calendar to get a sense of available times. This is for reference only — you cannot book directly through the calendar without completing payment first.
  • Step 2 — Pay via Stripe: Select your session type and venue on starttennissydney.com and complete payment via the Stripe payment link. Payment must be made in full before any session time is confirmed.
  • Step 3 — Receive your booking link: Once payment is confirmed, Jack will send you a personalised confirmation page containing your Cal.com scheduling links for the discovery call (1-on-1 only) and your on-court session.
  • Step 4 — Schedule your session: Use the links provided to book your discovery call and on-court session time directly through Cal.com.

A booking is not confirmed until both payment has been received and a session time has been selected via the provided Cal.com link. Jack will not hold court bookings or reserve time slots without completed payment.

Trial Lesson — First Session Pricing
Trial Lesson — All-Inclusive Pricing
New clients are eligible for a discounted trial lesson on their first session only. The court is fully included — no separate fees. Waverley Park: $90 · Northbridge Park: $70 · Glebe Tennis Court: $90. Available once per new client only.

Trial Requirement — Access to Standard & Package Sessions
Important — Trial First, Then Unlock
All new clients must complete a trial session before accessing any standard session or 4-session credit pack. This applies to both 1-on-1 and 2–4 people bookings. Standard sessions and the 4-session pack will only be made available to a client after their trial has been completed. Jack will personally send the booking link for standard and package sessions following the trial. Clients who have not completed a trial will not be eligible to book or pay for standard or package sessions.
  • Trial (1-on-1): Includes a free 15-minute discovery call with Jack before the session — no extra cost.
  • Trial (2–4 people): Available for groups — once all members of the group have attended the trial, the group may proceed to standard or package bookings.
  • Standard sessions & 4-session pack: Unlocked after trial is completed. Jack sends a personal booking link via SMS or email after the trial session ends.
  • No exceptions: Payment for standard or package sessions will not be accepted from clients who have not completed a trial, unless Jack explicitly agrees otherwise in writing.
Group Size Flexibility — 2–4 People Sessions
Flexible Group Booking
Clients who originally booked as a group of 2–4 people are not locked into bringing the same number of people each session. If someone in the group cannot attend, the remaining members may book at the lower group size rate for that session.
  • Price adjusts to actual attendance: If you booked a 4-person session but only 3 can attend, you pay the 3-person rate for that session.
  • Minimum 2 people: Group sessions require a minimum of 2 participants. If only 1 person can attend, the 1-on-1 standard rate applies instead.
  • Advance notice required: Any change in group size must be communicated to Jack at least 48 hours before the session so the correct rate can be confirmed and payment adjusted.
  • 4-session pack adjustments: If group size changes for a pack session, the credit is adjusted to reflect the correct rate for that session. Any difference is either charged or credited at Jack's discretion.
  • No-shows within the group: If a group member fails to attend without notice, the session proceeds at the original booked group rate — no adjustment is made for unannounced absences.
Session Fees — All-Inclusive Pricing

All prices are fully inclusive — one flat rate per session, no hidden fees. The rate you see is the total you pay. All prices are in AUD and GST-free.

4-Session Credit Pack — Full Terms
Best Value Package — Available Once Per New Client
The 4-session credit pack is available to new clients once only. All rates are fully inclusive — 1-on-1 per session: Waverley $110 · Northbridge $90 · Glebe $110. Group rates vary by group size and venue — see tables above. The pack is paid upfront in full via Stripe at the time of purchase.
  • Availability: This package is available once per new client only. It cannot be purchased again by the same client after the initial pack is used or expires.
  • Flexibility: Each credit may be used on any available day and time slot — book individually with at least 1 week advance notice per session.
  • All-inclusive: The session rate covers everything — coaching and court. No separate fees apply to any session redeemed under this pack.
  • Upfront payment: The full pack is paid in one single Stripe payment at time of purchase. 1-on-1 totals: Waverley $440 · Northbridge $360 · Glebe $440. Group totals vary by group size — see pricing tables above for full breakdown.
  • Expiry: All credits expire 6 months from the date of purchase. Unused credits after this date are forfeited without refund.
  • Non-transferable: Credits are personal to the purchasing client and cannot be transferred, gifted, or shared.
  • Cancellation: Standard cancellation policy applies per session — more than 48 hours notice: credit restored to pack. Under 48 hours: credit forfeited. Medical certificate exception applies once per 6-month period.
  • No cash refund: Purchased credits are non-refundable. Jack may at his sole discretion issue a partial refund for unused credits in exceptional circumstances.
Waiver Must Be Signed First
Important — Required Before Payment
The signed Liability Waiver and acceptance of these Terms & Conditions must be completed before payment is made and before the first session commences. Payment of a session fee without a completed waiver does not constitute acceptance of these Terms — Jack reserves the right to decline the session until the waiver is signed.
Payment Always Before the Session — No Exceptions
Strict Policy — Payment First, Scheduling Second
Payment must be made in full before any session time is confirmed or scheduled. Clients cannot book a court time through Cal.com until payment has been completed via Stripe. There is no pay-on-the-day, pay-after, or reserve-now-pay-later arrangement. This applies to all sessions including trials, standard sessions, packages and make-up sessions.

After payment is received, Jack will send the client a personalised confirmation page with links to schedule their session via Cal.com. The session time is only locked in once the client has used those links to select a date and time. If a client completes payment but does not schedule their session within 7 days, Jack will follow up via SMS or email. Unscheduled sessions do not expire — they remain as a credit until used or until the applicable expiry period.

Payment Method — Stripe Only

All payments are processed exclusively through Stripe, a secure third-party payment platform. A payment link will be sent to the client at the time of booking confirmation. Clients must complete payment via the Stripe link before the session is confirmed.

  • Accepted cards: Visa, Mastercard, American Express
  • Apple Pay / Google Pay: accepted via Stripe
  • No cash, bank transfer, PayID or cheque — Stripe is the only accepted payment method

By completing payment through Stripe, the client agrees to Stripe's own Terms of Service in addition to these Terms. Jack does not store card details — all payment data is handled securely by Stripe. A payment receipt will be automatically sent to the client's email address on file. Jack is not currently registered for GST — all session fees are GST-free unless otherwise stated.

Payment & Scheduling
Payment is charged immediately
When you complete payment via the Stripe link, your payment is processed immediately and funds leave your account straight away. You will receive a Stripe receipt via email upon successful payment. Jack does not store card details — all payment data is handled securely by Stripe in accordance with PCI-DSS standards.
  • Payment processed: Immediately upon checkout via Stripe.
  • Scheduling: After payment Jack will send you a personalised Cal.com booking link. When you select a time slot, your booking will appear as pending until Jack manually reviews and accepts it. Your selected time slot is held and will not be available to other clients during this period.
  • Confirmation: Jack will accept or decline your booking as soon as possible. You will receive an email notification from Cal.com confirming the outcome.
  • If Jack cannot confirm the session: A full refund will be issued via Stripe. Refunds typically take 5–10 business days to appear back on your card depending on your bank.
  • Client cancels (48+ hours notice): Full refund via Stripe — see Cancellation Policy.
  • Client cancels (under 48 hours): No refund — see Cancellation Policy.
Session Packages

The current session package offered is the 4-session credit pack at $90 per session ($360 total). The full package fee is payable upfront via Stripe. Credits are personal to the purchasing client, non-transferable, and expire 6 months from the date of purchase. Unused credits beyond the expiry date will be forfeited without refund. Each credit is redeemed by booking an individual session with at least 1 week advance notice. All costs are fully included — no separate fees apply.

Pricing Changes

Jack reserves the right to adjust session fees at any time. Any pricing changes will be communicated to existing clients with a minimum of 14 days' notice and will not apply retrospectively to pre-paid sessions or packages already purchased.

Cancellation & Rescheduling
Cancellation Policy
Key Policy — Please Read Carefully
Cancellations with more than 48 hours notice receive a full refund via Stripe. Cancellations with less than 48 hours notice receive no refund. No exceptions apply unless Jack agrees otherwise in writing or the Medical Certificate policy below applies.
How to Cancel or Reschedule

Cancellation or rescheduling requests must be made directly to Jack via SMS, phone call, or email. Requests made via third-party platforms, social media or any other channel will not be accepted as valid notice. The preferred method is a direct call or SMS to 0426 752 877. The notice period begins from the time Jack acknowledges receipt of the request in writing.

Medical or Illness Cancellations — Within 24 Hours
Medical Certificate Exception
If a client is unable to attend a session due to genuine illness and provides a valid medical certificate or doctor's note dated the same day as the missed session, a full session credit will be issued regardless of the notice period. This exception exists to protect clients who become unexpectedly unwell — even within the 48-hour no-refund window.

The following conditions apply to this exception:

  • Documentation required: A valid medical certificate or doctor's note must be submitted to Jack within 24 hours of the scheduled session start time. Pharmacy receipts or general "feeling unwell" messages are not sufficient — a medical certificate from a registered GP or medical centre is required.
  • Credit issued: A full session credit (make-up lesson) will be issued. This is not a cash refund — the credit may be applied to any future session within 3 months of the missed session date.
  • Session cost: The session fee is non-recoverable. Any costs already incurred by Jack will not be reimbursed in this case.
  • Frequency limit: This medical exception applies once per client per 6-month period. A second medical cancellation within the same 6-month window will be assessed at Jack's sole discretion. This limit exists to maintain fairness and prevent misuse of the policy.
  • No cash refund: Even with a valid medical certificate, the remedy is a session credit only — not a cash refund via Stripe.

Jack reserves the right to decline a medical credit claim if the documentation provided does not appear genuine or was not submitted within the required timeframe.

Repeated Short-Notice Cancellations

Where a client cancels with less than 48 hours notice on more than two occasions within any 3-month period, Jack reserves the right to require pre-payment of two sessions in advance before confirming any further bookings for that client.

Refund Policy
Eligible Refunds

A full cash refund via Stripe will be issued where:

  • Client cancels with more than 48 hours notice prior to the scheduled session
  • Jack cancels the session for any reason and is unable to offer a make-up within 30 days

A session credit (make-up lesson) will be issued where:

  • Jack cancels the session for weather, illness or circumstances beyond his control and a make-up is available within 30 days
  • The session is interrupted by unplayable weather conditions — see Section 7 for credit amounts
  • The session cannot proceed due to court closure or unavailability where Jack is unable to secure an alternative court
  • Client provides a valid medical certificate within 24 hours of the missed session (see Section 4 — Medical Exception)
Session Credit Expiry
All session credits expire 3 months from the date of issue. Credits are non-transferable, not redeemable for cash, and cannot be applied to session packages.
Non-Refundable Circumstances

No refund will be issued in the following circumstances:

  • Cancellation with less than 72 hours notice for any reason other than those listed above
  • Client no-show — full session fee is forfeited
  • Client arrives late and session cannot be completed in the remaining time
  • Client is asked to leave a session due to breach of the Code of Conduct (see Section 8)
  • Expired unused sessions from a pre-paid package
Refund Processing

Where a refund is approved, it will be processed via Stripe back to the original card or payment method used. Stripe refunds typically appear within 5–10 business days depending on the client's bank. Jack will confirm the refund in writing once initiated. Note that Stripe processing fees may not be recoverable in all cases.

Consumer Guarantees

Nothing in this refund policy limits or excludes any rights you have under the Australian Consumer Law, including the right to a remedy where services are not delivered as agreed or do not meet acceptable quality standards.

Late Arrivals & No-Shows
Late Arrivals

Sessions begin at the scheduled start time regardless of client arrival. If a client arrives late, the session will run for the remaining time only — the session end time will not be extended. No partial refund or credit is available for time lost due to a client's late arrival.

Jack will wait at the court for a maximum of 15 minutes past the scheduled start time before treating the session as a no-show. This wait time may be extended by mutual agreement negotiated with Jack on the day — call or text Jack on 0426 752 877 if you are running late.

No-Shows

If a client does not attend a booked session and has not provided any prior notice, the session is treated as a no-show. The full session fee will be forfeited with no refund or credit issued. Jack will send one notification to confirm the no-show before leaving the venue.

Coach Late Arrival

If Jack is running late, he will notify the client as soon as possible. If Jack is more than 15 minutes late and has not provided prior notice, the client is entitled to a full refund or a free reschedule at their choice.

Weather & Court Conditions
Venue Wet Weather Policies — Waverley Park, Northbridge Park & Glebe Tennis Court

All coaching venues (Waverley Park, Northbridge Park, and Glebe Tennis Court) are outdoor facilities. If conditions are deemed unplayable by Jack, no cash refunds are issued for weather-affected sessions — a session credit (make-up lesson) is provided instead.

How you will be notified
Jack will assess conditions before every session and will call or text you on 0426 752 877 if the session is deemed unplayable. Do not assume a session is cancelled due to rain unless you have received direct notification from Jack. If you have not heard from Jack, assume the session is going ahead. This is consistent with the notification approach used by all three approved venues.
Who Decides If It Is Unplayable

Jack has sole discretion to determine whether weather or court conditions are unplayable. Relevant factors include active rainfall, standing water on the court surface, lightning within the area, extreme wind, or a court closure notice issued by the venue. A client's personal preference not to play in light drizzle does not constitute unplayable conditions — if Jack deems it playable and attends, the session is considered confirmed and no credit will be issued for client non-attendance.

Session Cancelled Before It Starts — Full Credit

If Jack determines conditions are unplayable before the session commences and notifies the client, a full session credit will be issued. This credit is redeemable as a make-up lesson at a mutually agreed future time. No cash refund will be issued. Jack will make this call and notify the client as early as possible — ideally at least 2 hours before the scheduled start time.

Session Interrupted After It Has Started

If a session has commenced but is cut short due to weather, the following applies:

  • Less than 20 minutes completed — full session credit issued (make-up lesson)
  • Between 20 and 40 minutes completed — Jack will use his sole discretion to determine whether a partial credit or a make-up reschedule is appropriate, taking into account the amount of coaching delivered and the nature of the interruption. Jack's decision is final.
  • More than 40 minutes of a 60-minute session completed — session is considered complete. No credit or reschedule will be issued.

All credits issued under this clause are for make-up coaching sessions only and are not redeemable for cash. Credits expire 3 months from the date of issue if not used.

Extreme Heat

During periods of extreme heat (above 38°C or where the Bureau of Meteorology has issued a heat health alert for Sydney), Jack reserves the right to shorten, modify or cancel sessions for the safety of both parties. The same credit policy applies as for wet weather — no cash refunds, session credits or make-up lessons offered on a pro-rated basis at Jack's discretion.

Lightning

In the event of lightning within the immediate area, the session will be suspended immediately and both parties must leave the court. This is a strict safety requirement at all approved venues. If a session is suspended due to lightning and cannot resume within the remaining booked time, the interrupted session credit policy above applies.

Code of Conduct
Expected Behaviour

All clients are expected to conduct themselves in a respectful and courteous manner at all times, including toward Jack, other court users, venue staff, and members of the public. By booking a session you agree to the following standards:

  • Treat the coach and all others with respect — aggressive, abusive or threatening behaviour will not be tolerated under any circumstances
  • Arrive on time, appropriately dressed, and ready to participate
  • Follow all safety instructions given by the coach without argument during the session
  • Do not pressure or attempt to influence the coach to deviate from the planned session in ways that may increase injury risk
  • Do not attend a session under the influence of alcohol or any substance
  • Disclose any new injury or physical limitation before every session
  • Respect court rules and the property of the venue
Right to Terminate a Session

Jack reserves the right to terminate a session immediately and without refund if a client: behaves in an abusive, aggressive or threatening manner; refuses to follow safety instructions; attends under the influence of alcohol or substances; or engages in conduct that endangers themselves, the coach or others.

Right to Refuse Future Bookings

Jack reserves the right to refuse future bookings from any client whose conduct has been deemed unacceptable, without obligation to provide a reason. Any pre-paid sessions remaining at the time of refusal will be refunded.

Health & Safety
Medical Disclosure Obligation

Clients must disclose all pre-existing injuries, medical conditions, physical limitations and any relevant health history to Jack before their first session, and must notify Jack of any new injuries or changes to their health status before each subsequent session. Failure to disclose a relevant medical condition that contributes to an injury during a session may impact any claim the client might otherwise have.

Fitness to Participate

By attending a session, the client confirms they are physically fit and medically cleared to participate in moderate to vigorous physical activity. If a client has any doubt about their fitness to participate, they should obtain medical clearance from their doctor before commencing sessions. Jack reserves the right to decline to coach a client who in his judgement appears unfit to safely participate.

Appropriate Attire

Clients must wear appropriate non-marking sports footwear at all times on court. Inappropriate footwear (including thongs, sandals, bare feet or marking-sole shoes) is not permitted and the session may not proceed if a client arrives wearing footwear that is unsuitable or unsafe. No refund will be issued in this circumstance.

Hydration

Clients are required to bring sufficient water to every session, particularly during warmer months. Jack is not responsible for providing water or other refreshments. Sessions held in warm conditions will include adequate rest and hydration breaks.

Coach's Right to Cancel
Circumstances for Coach Cancellation

Jack reserves the right to cancel a booked session in the following circumstances:

  • Personal illness or injury preventing safe coaching
  • Family emergency
  • Unsafe weather or court conditions
  • Court unavailability due to venue closure or force majeure
  • Any other circumstances genuinely beyond Jack's control
Notice & Remedy

Jack will provide as much notice as possible of any cancellation. Where Jack cancels a session for any reason, the client will receive:

  • First: a free make-up session credit to be used within 3 months of the original session date, or
  • If no make-up can be offered within 30 days: a full cash refund via Stripe to the original payment method

This is consistent with the Refund Policy in Section 5. No further compensation beyond a session credit or refund is payable by Jack for a cancelled session.

Photography & Video
Coaching Footage

Jack may occasionally film short video clips of a client during a session for the purpose of technique analysis and coaching feedback. This footage will be shared directly with the client only and will not be posted publicly without the client's explicit written consent.

Jack will not use any photos or video of a client for promotional, social media or marketing purposes without obtaining separate, specific written consent from the client beforehand. Clients may withdraw consent for promotional use at any time by notifying Jack in writing.

Client Recording

Clients are welcome to record their own sessions for personal coaching review. Recordings of sessions may not be shared publicly, posted to social media, or used in any commercial context without Jack's written consent.

Privacy
Information Collected

Jack collects personal information from clients including name, date of birth, contact details, emergency contact details, medical information and payment details solely for the purpose of providing tennis coaching services, maintaining session records, and communicating with clients.

How Information Is Used

Personal information collected will only be used for the purposes for which it was provided. It will not be sold, shared or disclosed to third parties except where required by law or where necessary to provide the service (e.g. court booking). Session notes and health information are stored securely and retained for a minimum of 3 years for legal and insurance purposes.

Access & Correction

Clients have the right to request access to, or correction of, their personal information at any time by contacting Jack directly. Requests will be responded to within 14 days.

Governing Law & Disputes
Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of New South Wales, Australia. Both parties submit to the non-exclusive jurisdiction of the courts of New South Wales.

Dispute Resolution

In the event of any dispute arising out of or in connection with these Terms or a coaching session, the parties agree to first attempt to resolve the matter informally by communicating directly with each other in good faith. If the dispute cannot be resolved informally within 14 days, either party may escalate the matter through NSW Fair Trading or other applicable dispute resolution mechanisms.

Severability

If any provision of these Terms is found to be invalid, unenforceable or illegal, that provision will be severed and the remaining Terms will continue in full force and effect.

Updates to These Terms

Jack reserves the right to update these Terms & Conditions at any time. Updated Terms will be published and clients will be notified. Continued booking of sessions after notification constitutes acceptance of the updated Terms.

Entire Agreement

These Terms & Conditions together with the signed Liability Waiver constitute the entire agreement between Jack and the client in respect of coaching services. They supersede all prior discussions, representations or arrangements.
